Activity Structure
An organisations executives (employees) conduct Business by performing a series of internal and external activities. Customer contact, quotations, recording orders, lost sales, customer support, membership renewals, telemarketing, mail marketing, sales meetings, courses, seminars, board meeting etc are examples of these activities.

EFFICIENCY Activity Manager is the 'heart' of total business and client management. Its exceptional design features and full integration to every EFFICIENCY module makes Activity Manager the 'main engine' in the system. Activity manager creates and manages activity transactions. An activity transaction is best described as the 'foot print' of external and internal business relations, relating to that activity. Each Activity transaction belongs to executives, customers and contacts and stamped with dates, times or alarms, and includes any relevant information, such letters, documents etc.

Activity transactions are the source of any historical or future (scheduled or task) information on any of its elements. Any type of data can be accessed from a single activity, past or future, by a click of a button. Activity Manager adds management values to the activity as it's created and followed up. These are the components to how an event is usually defined by selecting the appropriate answers to the Big W questions:

Why
When
What
Who
Whom
Where - questions all starting with 'W' (we refer them as 'The Big Ws')

''The Big W' values are defined by users to suit the needs of the organisation, business or reporting and by selecting related information from the database. For example, the 'Why' question can be tabulated in the Reason Category and Reason Item tables by creating Reason Codes. Similarly the 'Whom' question can be answered by selecting the related Company, Site and contact information from the database.

If you wish to automate all the expected activities for a pre-determined task, project or a job the ACTION PLANNING function is there to set all the future activities based on the WORKFLOW templates.

Each activity is composed of two similar sections - NOW and FUTURE. The Future automatically creates a sophisticated Task Assignment.

The information on an activity transaction is captured by selecting the relevant values from various look up tables, such as Activity Type, Next Call Action, Activity Result (The Big Ws) and by recording the executive, company, site, contact, campaign split and time details for the event. Similar information is captured for the follow up.

Activity Transaction record may belong to a modular activity, i.e. quotation, order, support log, e-commerce, complaint or donation. In this case, the module type, id and the status values are captured automatically.

An unlimited number of letters, documents, product interests, profiles and graphics, audio and video objects can be attached to each activity.

Activity manager also manages the calendars and schedulers.
