Reliable, trouble free, economical and safe operation of a Plant equates a satisfied and loyal customer. Therefore, EFFICIENCY treats the Plant as one of the most important building blocks of the total business and client management concept. Most of the service and maintenance functions in the financial, ERP and even specialised service systems include the Plant in their modules merely an object to be serviced with a serial number, description and a few dates and values. In most cases, they use the product information for this purpose any way. Almost all of them lack to access the single view of the customer details as the user of the plant, all types of detailed history and transactions for the plant, on line information of the parts, products, suppliers, manufacturers, technical details, reports, surveys, training and service manual and analysis data etc EFFICIENCY Plant Management module is a multi tier, multi purpose plant management system as part of service and maintenance functions of the total client and business management concept. EFFICIENCY Plant Management module is designed to operate stand-alone or integrated to the existing financial systems. The inherent design and the information structure of the Plant management module attributes each plant to a customer site linked with or without via one or more contract records. This feature automatically enables the system to control all the Lease Management requirements. Better customer service based on the detailed support, site location history and ability to store unlimited data for each plant. Servicing of other customers items with the use of service pins assigned to companies, company contacts and plant items. Lease Management is provided as an integral function of the module. Proactive and scheduled servicing and preventative maintenance of plant equipment and parts. On line business analysis of performance of plants as products, parts, services, faults and contracts Warranty tracking and reporting. Contract management with the ability to assign one or multiple service or warranty contracts to a plant item Product and Model Integration is built into the plant structure detailing parts to suit the exact maintenance plans and to track serial numbers and service history at the parts level. Critical dates and values are recorded against the plant and plant site details enabling preventative and proactive servicing to take place as well as manage current servicing and support log in action. Expansion of data with the use of transaction and expansion tables allows a practically unlimited amount of additional data to be recorded against plant records. Knowledge base is integrated into plant module at model, plant and fault level and cross linked to other related modules Attach unlimited data to each plant record in the form of static, transactional, audio, video and graphics. Integration to WEB for customer on-line enquiry and service requests.
Plant Module Tab Folder The Plant Module is maintained from the Plant Tab Folder. Details of the Plant item are maintained including information such as Serial Numbers, Product Id, Vendors, Warranty, and Date of installation and Status. Existing plant records can be duplicated at time of creation to assist with data entry. Automated serial number generation is also available. The Plant Maintenance Module is one of the backbones of the Customer Support and Customer Service Desk modules. Each service action or technical support request starts with the creation of a Customer Service or Support Request (CSR) log. This log may then be linked to a Plant (as well as other options) with levels of Fault Codes and with or without a valid service contract. If the maintenance of Plant is required, the Service Desk will deal with all the support and service activities, including the spare parts usage and the labour costs cross-linked to the related plant items. These details are kept as a summary in the Plant Master file record as well as the transaction histories. The Plant Activity History can be printed and made available to the service person just before making a site visit or starting the maintenance of the item. Each plant item is linked to a Model. The parts and the services used or included in each Model can be listed as a multi-level Bill of Materials. This information is available for each plant item for the Support and Marketing Modules. The Serial Numbers can be automatically generated for the Plant Model Category or the Plant Module Item levels. As each plant item is registered under the customer's code with a serial number and the customer's internal reference (asset) number, a well maintained Plant Maintenance Module immediately becomes a valuable 'Sales and Marketing' tool. The summary information of the Plant Master File for each customer is also available for the Sales and Marketing operations. Plant Details Details of the Plant item such as dollar value and valuation date are maintained against the Plant item itself. Some critical dates are automatically maintained by the use of the Service and Support modules to provide a summary of critical dates and to provide comprehensive Plant reporting. Plant Site Tab Plants are typically located at a Company site. Each Plant at a site holds information such as:
Contact Plants can be moved from one site to another, maintaining previous site history. As each plant item is registered under the customer's code with a serial number and the customer's internal reference (asset) number, a well maintained Plant Maintenance Module immediately becomes a valuable 'Sales and Marketing' tool. Defaults and User PreferencesEach user can have a pre-selected default template, which automatically fills the Header fields during the creation process. Plant Site Details Finance and Insurance details for Plant items are maintained and become part of Plant site history. Parts and Components Plants can be simple single units or complex sub assemblies with individual components requiring serial tracking. Parts are used to maintain the individual items within a Plant item with each part having their own unique details of serial numbers, descriptions and dates of installation and servicing. These can be manually created or copied from existing model templates. The Service Desk will handle spare parts usage with labour costs cross-linked to the related Plant items. These details are kept as a summary in the Plant Master file record as well as the transaction history. Plant Site HistoryTracking of Plant Site, history is automatically maintained and provides detailed information on the Plant item. Support and Service History Plant support and service history is also automatically maintained when used in conjunction with the Service and Support modules. It provides a history of all service and support logs associated with the Plant item with the facility to drill down into the specific jobs if required. Generate Serial Number If a new serial number is to be generated for this plant id (only during a new plant record creation) the system will display the <Serial Number Creation> window. Duplicate A duplicate dialogue window will allow the copying over of the details of an existing Plant record to a new one. Knowledge Links to the Knowledge Module for the Plant in question. Contract The Plant record is assigned to the available Contract(s). Profiles Users can attach as many profiles to the plant site record as desired. Notes Users can maintain the Plant Module Notes by date, executive and security levels. User Flags The plant record can be marked with user-defined flags. The plant site details can be printed on any one of the many user defined pre-determined report formats. Reports and Enquiries A considerable number of standard reports and enquiries are provided.
