Membership Management

EFFICIENCY Membership system unlike many other traditional membership software treats the members, individual or corporate, as an extension of the contact and client management modules as part of the total Client and Business Management concept.

This structure automatically puts the membership within a much bigger picture in EFFICIENCY.  The inherent multi tier and multi purpose design of the membership module allows the user to maintain multiple clubs, cards, categories and types of membership for contacts, families, groups and organisations.  By the same token, the sponsors can be maintained as part of the same information structure.

The complete sales, marketing and service functions of EFFICIENCY are integrated to the membership system.  Each membership activity is attached to a Campaign Split therefore your marketing department will have the full knowledge of the members in real time.

The reserved seating, reserved parking and reserved lockers can be maintained on multiple levels and venues.

Membership Module Tab Folder

The whole management of creating, editing or updating any members or corporate sponsors and their activities is maintained within one tab folder.  This tab folder is split into five tab sheets:

1.       Member Standard Information, Family and Group details and relations
2.       Company Sponsor Information
3.       Membership and Family Member Details
4.       Member Profiles and Value Added Information

Member Contact Information

Searching for an existing contact can be performed by using the Name, Preferred Phone number or the Club and Membership Number or any other field by using the Search Engine.

A contact may have more than one address.  Additionally, different contacts may use the same address details.

A full history of memberships (current and lapsed) for this contact is listed.

The right bottom section displays all the current Relations, which are currently available for the contact.  All family membership relationships are created automatically and other relationships to other members and organisations can be maintained manually.

Double click on the Family field to activate the Family (or Group) membership details.

Membership and Family Member Details

This window displays a list of all family (group) members connected to the Family (group).  The main family member is in bold.  The user may click on any family member and the system will display that family member’s details.

The Season Preparation and Cash Receipt programs maintain the membership status automatically.  Membership information can be printed onto a pre-formatted card or selected reports onto plain paper.

Member Profiles and Value Added Information

A host of user defined profiles and value added information can be entered at this tab sheet

Organisation or Sponsor Information

The company tab is designed to maintain the organisation (company), site, employee and relation details.

The company records here are not directly related to the contact record unless a contact to company or company to contact relation was created.

The organisations at the site level can be related to other organisations.

Each company site can contain an unlimited number of employees and various attributes for the employees.

Subscriptions

A wide range of data can be grouped under the Club, Card and Membership Type combinations.

The membership number range, reserved seating requirements, use of loyalty points and the distribution of the funds to various GL accounts (multi company) can be all set up on this window.

Renewal Preparation

An automated process re-organises the membership and the reserved seating data for the next season.

Membership Payments

Receipt of membership payments, refunds or sales of merchandise can be performed from within each member’s record (over the counter) or via batch mode for the entry of multiple payments.

Payment information can be printed onto a pre-formatted receipt.  The entry of a receipt address for people purchasing memberships as presents is also available.

The option to capture Credit Card Authorisation information is available, as is the ability to allocate over / under payments to donation or charity categories.

Single or Group Membership Renewal

The confirming and updating of member’s details eg Membership Categories and their residential address is available on this screen.

If the subscription requires a reserved seat, the allocation system will automatically pop up the following screen to confirm, change or allocate a reserved seat for the member.

Reserved Seat Preparation

The venue (stadium, car park etc) can be prepared for each event (season) in the form of Stands, Bays, Sections and Rows.

The extension of this module is used to allocate car park spaces for special events.

Each Time a seat status is changed (allocated, renewed or made unavailable) the status of the totals can be drilled down from the stadium to the seat levels.
